Yeah, like AI is just an extension of who who you are, extension of your knowledge, extension of your skills, extension of your task, extension of your system. So instead of you you are doing things pen and paper like the old days, now AI can amplify that. But it cannot AI cannot do the actual work if you don’t put that customization in there. So to put the customization, you have to have kind of like a mindset of systems.

like step by step of doing things, methods, frameworks, how people they can follow. Like the same way you teach a new hire how how they do things, this is exactly that you have to deal with with AI.

Today we’re join joined by Georges Hanna, founder of Smart Income Lifestyle, a technology company helping real estate professionals and business owners build systematized asset-based businesses through automation and marketing systems. Georges, thanks for taking the time today.

Dylan Silver
Systems, Georges, are so important for building repeatable success, but many business owners lack systems when they’re starting out or scaling. Why is that?

Georges Hanna
Most businesses they they get so much involved in the creation of of the product. So for instance, real estate investors, they they get so much involved into finding the deals and doing everything themselves. And with the with that with this practice, it becomes like super hard to let go some some some things. So at some point, like at the beginning, it works because it is needed, but at some point you cannot grow and scale any business, including real estate investing, if you don’t if you don’t create systems and those systems they function without you being there. So real estate investors they start to find themselves and business owners they start start to to find themselves kind of like the butt the bottleneck that prevent the the portfolio and the company from from growing so so real estate investing is not just about creating the portfolio and it’s not about just like finding the deals.

It is it is about like creating the company behind finding those deals. Like how I can create an organization or a company or a business that function without me being there. So

W when we talk about, you know, being able to function independent of the operator, oftentimes people become almost captive to their business. And I’m sure you’ve seen this so many times where they don’t have the systems in place, they can’t detach themselves from the business, and they become tired real estate investors, tired landlords. When people are trying to avoid that pitfall, you know, should they start the systems as soon as they start the business or should they start the systems once they’ve scaled a little bit?

Georges Hanna
Never too late. Like if you if you are if you are starting right now, start from the beginning. But if you already have like your portfolio and you are building what what what what you are building, what I will do is I will allocate a certain percentage of my working hours every single week to create those systems. So for instance, every single Friday morning I can allocate one hour of my time to build those systems. And the easiest way to do is just there is a platform called Loom.

L-O-O-M. It’s like Zoom, but you can host everything on that platform. You don’t have to download. So, what I will do is I start to record every single process I do, like step by step, what I will do. And I allocate one one hour per week on a certain day, and I start to build those. And without you know like noticing within within within six months or 12 months, you already systemize everything. So the first thing is record document.

And after that, you start to document those or systemize those. the first thing I do it on paper, but after that, I I can create automation system, AI system. It depends like how you want to to to leverage that and what which which software or which tool will help you to to do that better. But the bottom line is try to systemize everything, don’t keep every all the knowledge and all the skills and everything that you do in your mind, because that is not scalable.

And like the the way I think about it is like my question always like how am I going to pass that to my kids? So I can I cannot pass like this is why most businesses they they fail in the second or the third generation because they created a kind of like the business and the business the knowledge dies with the with the owner, so they the the kids they try to to manage as much as they can, but they they have no system, nothing concrete.

So what I need to do is while I’m doing my portfolio, I need my business to run without me. So when I pass that to my kids later on, like they can trans also without without them. So they they become kind of like the the the one who run who who observe the from like from from the high level instead of they are just being involved like in day to day and that nothing is being documented or systemized or everything is dep is depending on on certain certain number of people.

I’ve seen quite often, and I’m sure you’ve seen this too, you know, investors who are often cowboys and are able to really navigate through the the journey of real estate investing almost, you know, without any type of system and seemingly no plan and somehow be successful at this. But the downside of this is as you mentioned, you can’t really pass that on. And if you’re trying to sell the business, you may be limited to what assets you have and not any type of system or process that could be a value add to the business as a whole.

Georges Hanna
Yeah. Like I I think always how I can how I’m going to pass what I know to other people, either my team right now or my kids in the future, or like what like whoever can come like across what I’m building, are they able? The question is, are they able to run the company as if I am there at the same level, at the same potential? If you can do that, and it’s not difficult to do that, but you have to build that.

Like this is when you have a real business. You are not just creating a random portfolio. Because as you said, some people sometimes they are they are like cowboys, but they get skilled in like going through all the that process. But not not everybody can copy that if it’s not like documented. Like you like you need to to to document years of experience and skills. So whoever whoever like can come to to that kind of business, they can run it as if you are in there.

Now you mentioned two tools that you’re using, you know, Loom and then AI as a whole, right? Loom for recording and documenting, but AI right now is a hot button everywhere. What are your best uses right now of AI?

Georges Hanna
The AI, like also AI is a system. So AI is not just one tool like ChatGPT. So even ChatGPT, you have to systemize how it works. Like if I want if I want to like look at it as a whole, like you have three kind of groups of using AI. The first one is the setup. So in the setup, what you need to do, even let’s say you are using just ChatGPT or Claude or well whatever platform.

Like the setup is AI mimic exactly how human beings work. So human beings, we think, like we have knowledge base, and based on that knowledge, on that way of thinking, we take actions. AI is exactly the same. So when you go on ChatGPT, for instance, the first thing that you need to do is you need to put the knowledge base. So this is why on on your computer, the easiest way to systemize things, start to create files. So I create a file about my business. I have another Word document about like what what I do. I have like another document about my framework. So you start to to create the like those documents on your computer and every single time I need to create anything using AI, I I I bring this kind of knowledge. So and then what what what what you have like you keep you you you give the instruction exactly how it should behave.

So once you have the knowledge and the instruction, it’s not ChatGPT anymore. It becomes your own version on the AI space. So this is why like my ChatGPT is not ChatGPT, it’s George AI.

Now when we talk about it being able to understand, you know, your processes, it starts to coalesce, right? because if you have the documentation and then you’re feeding it into an AI tool, it can in some ways adopt your mindset and understand how you want things to be organized. And now it’s gotten so advanced that it can predict, you know, what the next thing is that you would do in a certain scenario.

Now pivoting here, Georges, if we look at Smart Income Lifestyle, when folks are coming to you and they have a business but little systems in place, what does your process look like with them?

Georges Hanna
The easiest way is the first thing is to document what they do day to day. So I ask them, just like don’t document, just record, because it’s easy to record. I put the camera on and I start to to record what I do. So for instance, this is the way I reply to an email. This is the way I do this. This is the way I review a deal. So just record those because now it’s it’s easy. One is once the recording is there, you can upload the recording, like AI, AI tool, and you can you can systemize everything in there. So we can take the transcript, you can create a framework, you can create the whole system. So it becomes like way much easier than than before. But the first step is just record and don’t overthink the recording. Like it’s not commercial recording. You you make mistakes, just keep going. So record what like the the way you do it, and after that, you start to decide.

like the the the rule is not everything you need you like at some point you need to to to be doing so once you record you need to decide I need this so I keep it or I need to eliminate that because not everything that you do you have to have like lots of elimination sometimes helps you to grow and scale faster so what you want to keep now I ask should I delegate that to a human or should I automate that through AI right now?

And then you you you take it from there. So so those those are the the the two steps I will do every single time, but it starts with the recording. Once you have the recording and the kind of documentation becomes much easier to figure out even hearing back your recording, you start to figure out lots of things. my god, like why I do that? It takes too long. You start to to figure out the lots of gaps that that you can that you can uncover.

Yeah, no, watching yourself back on video, there’s nothing quite like that, because then you’ll kind of see, okay, there’s all these issues here, or you know, sometimes people say, well, there’s this one thing in just the way that I’m explaining it that’s not quite as I wanted or or intended, right? but when we talk specifically about getting this initial recording set together, and people are trying to identify maybe the highest priority areas of their business, is this different for someone who’s got you know, maybe one or two people on their team versus someone who may have a a slightly larger team of five to ten.

No, right now, the beauty of AI, you can amplify who you are like hundreds of times. So now I like I’m not only Dylan and and my business, I can create hundreds of Dylans inside my business using AI. And this is like this is exactly takes you back to ChatGPT. The easiest way to create an AI agent, I call them AI employees or AI thinkers, is the custom GPTs.

So on ChatGPT, it’s called custom GPT. On Gemini, it’s called Gem. On Copilot’s called agents, but they do exactly the same work. So what I do on those, let’s say ChatGPT, I create custom GPTs depends on my department. So let’s say in sales, in sales, I need to write the proposal. I need to answer the email in certain ways. So every single task, I create a custom GPT for it. And the beauty of ChatGPT, when you when you want to chat, you can call those employees by using just the @ sign. So now when I want to do anything with sales, I have my AI employees in sales. I have my stack, like 10 employees, five employees, like whatever you have. And every single time I do a job, like on AI, I call those employees one by one. It depends on their job. Exactly the same way when you phone call your employee and say, like, come to do this.

And that have happens with with within minutes. So now it’s not only Georges doing the work, it is a hundred times or a hundred Georges they are doing, like big team, they are doing what you’re doing. So right now, even though you are three people in your organization, that could be like equal to 300 of what other companies they are doing if you are using AI in the right way.

Now, when folks are using AI agents, and I think there’s a lot of evolution that’s happening with this, what are you seeing as some of the best use cases for AI agents? You know, is it marketing? Is it, you know, responding to emails? Is it, you know, running twenty four seven in the background? What are you seeing?

Georges Hanna
I use like for instance, responding, like for instance, when I when I go on a podcast, I get a list of 10 questions. So sometimes you go by like you if you need to answer those questions one by one, it’s going to take like too long if you want to be on part, like if you are going like that, that route, for instance. For me, I have my AI employee to respond to any questions. And this AI employee is exactly my voice, my style, like me. So it’s not ChatGPT, it’s not trendy.

So when I put the question, AI will help me to answer the question quickly. I review it just like to to see like this is exactly what I want and just take it from there. So for instance, for podcasts, I have AI employee for writing proposals. I have one. responding to email and anything, marketing, I do that. Content creation, I do I have AI employee. So the the idea is once you start to have a mindset of systems, you start to create those AI employees, and they are not complete, like they are super easy in terms of just AI thinker, like there is no action and taken in there. they are super easy to to create once you have the knowledge, how to extract that knowledge from you as a system on those on those AI employees. And this is how how you start to let go so much of the redundant work that you have to do and let AI do they work the the actual work for you?

Now, on a granular level, if we can unpack and we’re talking, you know, at end of June 2026, so things will may will change in a couple of months, but if someone wanted to start with AI employees, let’s just say using ChatGPT, right? what advice would you give them or what feedback would you give them to building their first few AI employees?

Georges Hanna
Like the the like I I think about everything as a system. So in my business, in every every single business, if you are in restaurant business or real estate investing, like there are but I call like there are like few departments, even if you are like one person business. So let’s say marketing department, marketing is a department, sales is a department, like admin is another department, HR, like this is the way I think about it, even though I am the only person in my business. So and then I take marketing.

And I say, all right, what are the tasks that I do every single time? Like I need to post on social media. What I do, like just sketch exactly on piece of paper, like nothing complicated. So what I do in marketing, what I do in sales, what I do in this and that, and then you go to custom GPTs, like custom GPTs on ChatGPT, for instance, you have to be on the paid version. if you don’t have the paid version, you can use Gemini on a gem on Gemini, like you can use the free version in there.

and i take every single task and that task and i create a custom GPT. The custom GPT has only two two like two things to to take into consideration. Put exactly what you do like just write like like the exactly like the the like speaking English. Like you don’t need to have a sort of way just explain what you do. This is the knowledge like this is the knowledge base and just put your knowledge exactly what how how you do it.

And then put like the step by step, and this is what’s called custom instructions. Once you have those two done, like this is custom GPT is is ready to to like to be used.

Georges Hanna
Like my my project is I’m helping right now business owners, real estate investors, and other other industries to focus right now on the executions because you like you cannot grow a business, you cannot reach a an enterprise level without without the the right execution. So creating the product, creating creating like a beautiful kind of like gold will not will not happen without the right execution. So that this is my focus and this is exactly what what I do with with the people who need that that kind of help.
